To prevent data loss from accidental file deletion or local server viruses, you can use Cloud Backup to back up all directories and files on your local server. Cloud Backup lets you configure flexible backup policies to back up data to the cloud. You can view and restore your data at any time. This topic describes how to use Cloud Backup to back up files on a local server.

Prerequisites

  • The Alibaba Cloud Cloud Backup service is enabled. Enabling Cloud Backup is free of charge. The following fees are incurred when you use the File Backup feature of Cloud Backup:

    • File backup software usage fees

      These fees are based on the number of clients.

    • Backup vault storage capacity

      These fees are based on the storage capacity used after deduplication and compression, not the raw data capacity.

    • Outbound Internet traffic during data restoration

      These fees are incurred when you restore data over the internet.

    • Cross-region replication traffic fees for backup vaults

      These fees are incurred when you use an image repository.

  • After you have installed the backup client on the server, the Client Status is displayed as Activated in the Clients of the Cloud Backup console.

Notes

If you only install the backup client and do not create a backup plan, Cloud Backup does not charge any fees.

Back up local files

You can create a backup plan for local files in one of the following ways:

  • Use the local file backup wizard: You can expand the Local File Backup Wizard card at the top of the Local File Backup page and follow the wizard to complete the two steps: Add Data Source (install the backup client) and Configure Backup (create a backup plan).

  • Manually create a backup plan: For more information, see Create a backup plan below.

Note

After you create a backup plan, the first backup job is a full backup. Subsequent backup jobs are incremental backups by default.

Create a backup plan

  1. On the Local File Backup page, select a region at the top and click Add Local File Backup.

    Note

    If you are using the Legacy Console (Try New Version is displayed in the upper-right corner), on the On-Premises File Backup page, select the version for the target client and click Back Up in the Actions column.

  2. In the Create Backup Plan panel, configure the following parameters and click OK.

    Basic Settings

    Local files to back up

    Select the local file data source to back up.

    Note

    This parameter is available only in the new console.

    Backup Folder Rule

    Specify the directory to back up. Cloud Backup backs up all files and subdirectories in the specified directory. For example, D:\work\local_backup_path or /home/backup_path.

    Select All Folders or Specified Folders.

    • After you select All Folders, specify whether to enable Exclude System Folders.

      • If Exclude System Folders is enabled, the excluded Windows and Linux system directories are not included in the backup plan.

        You can click the 1 icon to the right of Exclude System Folders to view details about the excluded system directories.

      • If you do not enable Exclude System Folders, all folders are included in the backup plan.

    • If you select Specified Folders, you must specify the Source Paths.

      The following rules apply to source paths:

      • If you do not use a wildcard character (*), you can enter up to eight paths.

      • If you use a wildcard character (*), you can enter only one path. Wildcard characters such as /*/* are supported.

      • Each line must be an absolute path. For example, a path that starts with /, \\, C:\, or D:\.

      • If you use VSS, multiple paths, UNC paths, wildcards, and file exclusion are not supported.

      • If you use a UNC path, VSS, wildcards, and file exclusion are not supported. If the backup source contains a UNC path, Windows ACLs are not backed up.

    Exclude System Folders

    Turn on the Exclude System Folders switch to exclude system directories from the backup.

    Backup File Type

    Select All Types or Specified Type.

    • All Types: backs up all files, regardless of the file name extension.

    • Select Specified Type: You need to specify the file types to back up in the Select File Type box (such as pdf, doc, etc.).

    Source Paths

    When you set the Backup Folder Rule to Specified Folders, you must configure this parameter. You can specify custom source paths.

    The following rules apply to source paths:

    • If you do not use a wildcard character (*), you can enter up to eight paths.

    • If you use a wildcard character (*), you can enter only one path. Wildcard characters such as /*/* are supported.

    • Each line must be an absolute path. For example, a path that starts with /, \\, C:\, or D:\.

    • If you use VSS, multiple paths, UNC paths, wildcards, and file exclusion are not supported.

    • If you use a UNC path, VSS, wildcards, and file exclusion are not supported. If the backup source contains a UNC path, Windows ACLs are not backed up.

    Backup Rule

    This parameter is displayed only when Advanced Rule Mode is enabled. It specifies the inclusion or exclusion rules for files. When this mode is disabled, file filtering is based on the Backup File Type parameter.

    • Include All Files: Backs up all files.

    • Include Files or Exclude Files: Manually enter a list of files in the input file list box to back up the specified files according to the rule.

    Backup Policy

    Select a backup policy from the drop-down list.

    Cloud Backup automatically backs up data sources based on the backup policy that you specify. A backup policy includes operations such as backup vault encryption, backup interval, retention period, cross-region replication policy, automatic archiving, and backup point virus scan. This helps you flexibly manage data source assets.

    If the default backup policy does not meet your backup requirements, you can click Create Backup Policy or Edit Policy to manage backup policies. For more information about the parameters in a backup policy, see Policy Center.

    Advanced Settings

    Use VSS

    Specifies whether to use the Volume Shadow Copy Service (VSS) of Windows to improve backup performance. This feature is available only for Windows operating systems.

    Note

    If you use VSS, you cannot back up multiple paths or UNC paths, use wildcards, or exclude files.

    Enable Bandwidth Throttling

    Traffic shaping helps you control the traffic of file backups during peak hours to avoid affecting your business.

    To use traffic shaping, turn on the Enable Bandwidth Throttling switch, select a Time Range (Hour) based on your business needs, enter a value for Max Bandwidth (MByte/s), and then click Add.

  3. Click OK to save the configuration.

    When a backup plan is created, its status is set to Running. Cloud Backup then runs local file backup jobs according to the specified backup policy, and the data source is added to the Protected Local File Data Sources list.

Preparing

The resource is being prepared for backup (for example, the backup client is being installed). After the preparation is complete, the resource is automatically backed up based on the specified backup policy.

Preparation Failed

The backup client failed to be installed. View the error details in the console.

Ready

The resource is added to the list of protected resources and is waiting for the first backup.

Backing Up

The backup status is normal. The system is waiting for the next backup job to run.

Backing Up (In Progress)

The backup status is normal, and a backup job is in progress.

Paused

All backup plans for this resource are paused. On the backup details page, you can enable any backup plan in the backup plan list to resume backups.

Stopped

The backup resource cannot be found (the source resource may have been released). The backup data is automatically deleted after it expires. On the backup details page, you can view the expiration time of the backup or restore data from the backup in the backup history list.

View backup jobs

When the scheduled backup time arrives, Cloud Backup starts and runs the backup job.

Note

The backup progress is a dynamic estimate that the system generates based on the current data volume. The progress is for reference only and does not indicate the exact completion percentage. During the backup, the data scan may not be complete, and the displayed total scanned size may be smaller than the actual data volume. The final status of the backup job is the definitive status.

On the Backup Jobs tab, a backup job is successful if its Status is Completed. You can view details about the backup job, such as Total Scanned Data From Source, Backed Up Data, Data Written To Backup Vault, and Backup Speed. For more information about these metrics, see the tooltips in the Cloud Backup console.

Note
  • For backup jobs completed on or after June 1, 2025, statistics on the data volume and number of files for Total Scanned Data at Source, Backed Up Data, and Data Written to Vault are displayed. For backup jobs completed before this date, only statistics on the data volume for these metrics are displayed.

  • You can view only the backup job records from the last six months in the job list. To retrieve more data, you can export the data using the Reports and Audits feature.

To cancel a running backup job, click Cancel in the Actions column and confirm the cancellation.

Manage backup content

At the top of the Local File Backup page, select the region of the data source and click View Details to its right. On the Backup History tab, you can manage the backup content.

Note

If you are using the Legacy Console (Try New Version is displayed in the upper-right corner), on the Backup Plans tab, click the image icon for the target client to perform actions. These operations are the same as those available after you click the image icon to switch the display mode.

Browse backup files

You can use the Browse feature to view backed-up files. If a virus scan is run on a backup point, Cloud Backup marks any infected files.

  1. In the Backup History section, click Browse in the Actions column for the target backup point.

    Alternatively, click the image icon on the right side of the backup history to switch the display mode. Then, click the target backup point and select Browse.

  2. In the Browse pane, you can view the backed-up local files.

Note

You cannot directly download backup files to your local computer. However, you can restore the backup files to a specified path. For example, when you restore files, set Restore Path Type to Specify Path and set Destination Path to D:\work\local_backup_path_new. (You must create this path before you start the restore job. Otherwise, the restore job will fail.) After the restore job is complete, the files from the backup point are downloaded to this path.

Extend the retention period of a backup point

To retain historical data from local file backups for a longer period, you can extend the retention period of the backup points.

Important
  • You can only extend the retention period of a backup point. You cannot shorten it.

  • You cannot extend the retention period for backup points that are permanently retained.

  1. In Backup History, click the image icon in the Expires At column for the target backup point.

    You can also click the image icon to the right of Backup History to switch the display mode. Then, click the target backup point and click the image icon to the right of Expires At.

  2. Select Schedule Time or Never Expire, and then click Save.

    After completing the configuration, you can view the new expiration time in the Expires At column.

Delete backup data

You can delete the backup point data that is generated by the backup client.

Important
  • Deleted backup points cannot be recovered. Perform this operation with caution.

  • If the "Keep at least one backup version" feature is enabled in the backup policy, you cannot delete the latest backup. If you are sure that you want to delete this backup, you must first disable the "Keep at least one backup version" feature in the backup policy.

To delete backup points from the list view on the Backup History page, use one of the following methods.

  • Single deletion: Click Delete in the Actions column for the target backup point and confirm the operation.

  • To batch delete backup points, select them, click Delete Backup Point at the bottom of the list, and then confirm the deletion.

You can also switch the display mode by clicking the image icon to the right of Backup History. Then, click the target backup point and select Delete.

Manage backup plans

On the Local File Backup page, select the region for the target local file data source, click View Details to the right of the data source, and then switch to the Backup Plans tab to manage the backup plan.

Note

If you are using the Legacy Console (the Try New Version button is displayed in the upper-right corner), on the Backup Plans tab, select the required action in the Actions column for the target local file data source.

Run a backup immediately

In the Actions column of the backup plan, click > Run Now to run the backup plan immediately.

Modify a backup plan

  1. In the Actions column of the backup plan, click Modify.

  2. In the Configure Plan panel, modify the basic settings and backup policy as required.

  3. Click OK.

Pause or resume a backup plan

Backup plans are enabled by default. To stop data backup for a specified period, you can pause the backup plan. You can then resume the backup plan when you need to back up data again.

  • Pause a backup plan: Turn off the switch in the Plan Status column, or select More > Suspend Plan in the Actions column, and then confirm the pause.

    After a backup plan is paused, subsequent backup jobs are not run. Existing backup points are not affected and automatically expire based on the specified retention period. If you enabled the "Keep at least one backup version" feature, the last backup version is not affected by the retention period. If backup points are retained for the local file data source after the backup plan is paused, billing for the data source continues.

  • Resume a backup plan: You can resume a paused backup plan by turning on the switch in the Plan Status column or selecting > Resume Plan in the Actions column.

Delete a backup plan

Important
  • You cannot delete a backup plan if the local file data source has valid backups. You must delete the backup data first. Before you delete the backup data, you can pause the backup plan if you do not want it to run.

  • Deleted backup plans cannot be recovered. Cloud Backup also removes the associated local file data source from the Protected Local File Data Sources list.

In the Actions column of the backup plan, click > Delete Plan and then confirm the deletion.

Manage backup clients

At the top of the Local File Backup page, select the region for the target local file data source and click View Details to the right of the data source. In the Client Information section, you can manage the backup clients.

  • On the Local File Data Source tab, you can also select the required feature for the target client from the Actions column.

  • If you are using the Legacy Console (where Try New Version is displayed in the upper-right corner), on the Clients tab, locate the target client and select the desired feature in the Actions column.

Reinstall the backup client

To the right of Client Operation, select > Reinstall. After the reinstallation is complete, the client status changes to Activated.

Configure client parameters

To the right of Client Operation, click Client Settings to configure and save the client parameters. We recommend using the default configurations.

Description

Use HTTPS

Specifies whether to use the HTTPS protocol for data transmission. HTTPS transmission involves encryption and decryption, which may affect transmission performance. If you modify this configuration, the change takes effect when the next backup or restore job starts.

Note

This setting affects only the data security during network transmission. Regardless of whether you enable HTTPS, backup data is encrypted when it is stored in a backup vault.

Data Network

Select VPC or Internet for data transmission. If your client is deployed in an Alibaba Cloud virtual private cloud (VPC) or is connected to an Alibaba Cloud VPC through a leased line, select VPC as the transmission network.

Maximum number of worker threads

Set the maximum number of worker threads for the backup client. A larger number of threads consumes more host resources and has a greater impact on host performance. We recommend that you evaluate the impact before setting this parameter.

Maximum CPU Cores

Set the maximum number of CPU cores that the backup client can use. A larger number of CPU cores consumes more host resources and has a greater impact on host performance. We recommend that you evaluate the impact before setting this parameter.

Alarm When Job Partial Completed

Some system files or files that are exclusively used by other programs may be skipped during backup, resulting in a partially completed backup job. After you enable client alert settings, you can specify whether to send alerts for partially completed backup jobs.

To receive alerts for partially completed backup jobs, turn on the Alarm When Job Partial Completed switch.

Data Network Proxy Mode

Configure the data network proxy mode. When you specify a proxy, you must prepare a username, password, and IP address or domain name in advance to set up the proxy network.

Configure retry parameters

If a file backup fails due to factors such as network instability, you can configure retry parameters.

  1. Log on to the server whose files need to be backed up.

  2. Switch to the default installation directory of the Cloud Backup client.

  3. In the client folder, create a file named hbr.config.

    Note

    The hbr.config file is at the same level as the hbrclient and ids executables.

  4. Add the following parameters to the hbr.config file.

    retry_times

    For client versions 2.16.0 and later, this is the number of retry attempts for data backup. The default is 30.

    retry_interval

    For client versions 2.16.0 and later, this is the retry interval for data backup. The default is 1000 milliseconds.

    skip_error_files

    Specifies whether to skip files that fail to back up.

    • false (default): Does not skip files that fail to back up.

    • true: Skips files that fail to back up.

    The following code provides a configuration example for the hbr.config file:

    retry_times=30
    retry_interval=1000
    skip_error_files=false

Cancel backup for a local file data source

Important
  • When you cancel a backup for a local file data source, Cloud Backup deletes all backup points under that data source, stops billing, and removes the data source from the list of protected local file data sources.

  • Before you cancel the backup for a client, make sure that the client is uninstalled, you no longer need its backup data, and no backup or restore jobs are running on it. Currently, you cannot directly uninstall the local client from the console. To uninstall the local client, see How to uninstall the Cloud Backup client. After the client is uninstalled, its status changes to Stopped.

On the Local File Backup page, select the region of the local file data source. Click View Details in the Actions column of the data source. On the Backup Details tab, click Cancel Backup next to Backup Running Status and confirm the cancellation.

  • Alternatively, on the Local File Data Source tab, click > Delete Backup in the Actions column for the target client and confirm the operation.

  • If you are using the Legacy Console (where Try New Version is displayed in the upper-right corner), on the Clients tab, in the Actions column for the target client, select > Delete Backup and confirm.

Enterprise-grade features

Virus scan

To prevent files that contain viruses from being restored to the production environment, the Cloud Backup service provides the backup point virus detection feature, which helps you select clean and safe backup points for data restoration. In the Backup History section on the Backup Details tab, you can choose > Virus Detection in the Actions column of the target backup point to scan the files for viruses.

Backup vault replication

To prevent regional disasters or account management risks from disrupting business continuity, Cloud Backup supports configuring cross-region backup or cross-account vault replication for backup vaults with a Vault Type of Standard. Once configured, data from the source backup vault is automatically synchronized to the replication target vault to ensure data consistency between the two vaults. You can also use the replication target vault to perform on-demand cross-region data restoration.

For general backup vaults that store local files, you can configure backup vault replication to implement cross-region or cross-account disaster recovery protection for your data.

In addition, File Backup supports enterprise-grade features such as cross-account backup, automatic archiving, KMS encryption, backup locking, and backup point virus scan.

Troubleshoot backup errors

If the Status of a client or backup job is abnormal, you can use the following suggestions to resolve the issue.

  • Client Status: Stopped

    The backup client has lost its connection with Cloud Backup.

    • If you have uninstalled the backup client and no longer need the historical backup data (which is used to recover files from backup points), select > Delete Backup.

      Important

      Deleting a backup deletes all backup data generated by the backup client and causes running backup and restore jobs to fail. Before you delete the client, make sure that you no longer need the backup data of this client and that no backup or restore jobs are running on the client. Evaluate the potential impact and perform this operation with caution.

    • Check the running status of the backup client on the local server. For more information, see How do I check the running status of a Cloud Backup client?.

  • The backup is Failed.

    • Modify the configuration and confirm that it is correct based on the prompts on the interface.

    • View the log to locate the specific error code.

      Note

      The default installation paths of the backup client are for reference only. Use the actual installation paths during your operations.

      • Log path for Windows: Local Disk (C) > Program Files > Aliyun Hybrid Backup Service Client > logs

      • Log path for Linux: /opt/alibabacloud/hbrclient/logs

More operations

  • Backup alert method

    In the Actions column, click > Alert Settings to select a backup alert method.

    Backup alert method

    Description

    Disabled

    The client no longer sends alert notifications.

    Same as Backup Vault

    The client uses the same alert method as the backup vault.

    Notify Alibaba Cloud Account

    Backup alert notifications for the client are sent to the Alibaba Cloud account by email.

    Custom

    You must select one or more contacts or contact groups. After the configuration is complete, the client sends backup alerts to the selected contacts or contact groups. For more information, see Manage alert contacts.

  • Delete backup

    This operation deletes all backup data generated by this backup client.

    Warning

    Deleting a backup deletes all backup data generated by the backup client and causes running backup and restore jobs to fail. Before you delete the client, make sure that you no longer need the backup data of this client and that no backup or restore jobs are running on the client.

    In the Actions column, click > Delete Backup to delete client backups that you no longer need.
