Create automatic listing/unlisting rules

Rule groups process asset objects by executing a scheduled sequence of rules to perform actions like suspend listing, automatic listing, information completion, or automatic unlisting. This automation reduces manual management costs. This topic describes how to create automatic listing/unlisting rules.

Prerequisites

  • For table assets: You have enabled the Intelligent R&D Edition or purchased the Asset Operation - Standard Edition value-added module.

  • For metric or dashboard assets: You have enabled the Intelligent R&D Edition or purchased the Asset Operation - Advanced Edition value-added module.

  • For API assets: You have enabled the Intelligent R&D Edition or purchased the Asset Operation - Advanced Edition value-added module, and purchased the Data Service feature.

Limitations

  • You can create a maximum of 500 rule groups for a single tenant.

  • You can create a maximum of 50 rules in each rule group.

Permissions

  • Super administrators, operation administrators, and users with a custom global role with the Listing Management-Manage permission can create rule groups and rules.

  • A rule owner can create and manage rules within their assigned rule groups.

Create a rule group

  1. In the top navigation bar of the Dataphin homepage, choose Assets > Catalog Management.

  2. In the left-side navigation pane, choose Automatic Listing/Unlisting > Automatic Listing/Unlisting Rules. On the Automatic Listing/Unlisting page, click Create Rule Group.

  3. In the Create Rule Group dialog box, configure the parameters.

    Parameter

    Description

    Rule group name

    The name of the rule group. The name must be globally unique and contain no more than 256 characters.

    Rule owner

    The user responsible for managing the rules in this rule group. You can select any active user in your tenant.

    Asset type

    The type of asset to which the rules apply. Supported types are table, technical metric, API, and dashboard assets.

    Asset source

    The scope of assets, based on the selected asset type. The rules in this group apply only to assets from the selected source. Each asset source can belong to only one rule group.

    Execution mode

    All rules in the rule group are automatically executed in sequence according to this schedule. Currently, only Scheduled execution is supported, with options for Daily and Monthly. The default daily execution time is 06:00, which you can change. You can set the start time to any value between 00:00 and 23:59.

  4. Click OK to create the rule group. You can then create rules in the rule group.

Create a rule

  1. On the Automatic Listing/Unlisting page, click Create Rule in the upper-right corner, or click Create Rule in the Actions column for the target rule group.

  2. On the Create Automatic Listing/Unlisting Rule page, configure the parameters.

    Basic information

    Rule group

    Select the rule group for this rule. When you create a rule from within a rule group, this field defaults to that group, but you can change it.

    Rule name

    The name of the rule task. The name can contain up to 256 characters and must be unique within the rule group.

    Rule type

    The type of action the rule performs. You can select automatic listing, information completion, suspend listing, or automatic unlisting.

    Asset object scope

    Asset type

    The asset type is displayed based on the selected rule group.

    Asset scope

    The asset scope is displayed based on the selected rule group.

    Asset objects

    Specify whether the rule applies to All objects or Specified Objects within the rule group's scope.

    • All: The rule applies to all assets within the defined scope of the rule group, including any new assets added later.

    • Specified Objects: The rule applies to assets matching the specified filter conditions. These conditions are evaluated at execution time against the latest asset attributes, including those of newly added assets.

    Filter conditions

    Configure filter conditions to refine which assets the rule processes. You can filter by asset status, full asset name, asset name, asset display name, asset source, asset tag, or BI space/directory.

    • Asset status (not available for the suspend listing rule type), Asset source, and BI Space/Directory (only for dashboard assets): Supported conditions are Belongs to and Does not belong to.

      Belongs to/Does not belong to:

      • When the asset attribute is Asset Status, you need to select the summary status of the asset. For automatic listing and information completion, you can select quasi-assets (including Not Listed, Listing Failed, or Suspend Listing Failed) and listed assets (including Listed (for information completion only), Update Pending Listing, Update Listing Failed, or Delisting Failed). For automatic delisting, you can select Deleted Assets.

      • When filtering by Asset source or BI Space/Directory, you can select from the sources or directories defined in the rule group's scope.

    • Full asset name (not for dashboard assets), Asset name, and Asset display name (not for API or dashboard assets): Supported conditions are Prefix match, Suffix match, Contains, Belongs to, and Is empty (only for Asset Display Name).

      • Prefix match, Suffix match, Contains: You can enter up to 256 characters.

      • Belongs to: You can select up to 500 assets.

      • Is empty: No configuration is required.

    • Asset tag: Supported conditions are Contains any of and Contains all of.

      • Contains any of: The asset is a match if it has at least one of the selected tags.

      • Contains all of: The asset is a match only if it has all of the selected tags.

    Configuration notes:

    • You must configure at least one filter condition.

    • You can configure a maximum of 10 filter conditions.

    • The logical relationship between conditions can be set to AND or OR.

    Information completion configuration

    This section is required when the Rule type is set to information completion. Configure the attribute information to be updated for the selected assets. For more information, see Modify properties.

    Suspend listing configuration

    This section is required when the Rule type is set to suspend listing. Configure the reason and description for suspending the assets. For more information, see Suspend listing.

    Execution configuration

    Overwrite manual operations

    You can select Yes or No.

    • Information completion: If you select Yes, the rule updates the attributes for all matched assets. If you select No, the rule will not overwrite any attribute that was last changed manually.

    • Automatic listing: If you select Yes, the rule lists all matched assets. If you select No, the rule skips any asset that was last manually unlisted.

    • Suspend listing: If you select Yes, the rule suspends the listing for all matched assets. If you select No, the rule skips any asset whose status was last manually changed to a quasi-asset, regardless of the outcome.

    Skip listing approval/Skip unlisting approval

    You can select Yes or No.

    If you select Yes, the rule bypasses the approval process, even if the asset matches an approval rule. If you select No, assets matching an approval rule require approval before they can be listed or unlisted.

  3. Click Save Only to save the rule without activating it. You must then manually enable it on the Automatic Listing/Unlisting page. Click Save and Enable to save and activate the rule. It will then be executed according to the rule group's schedule.

    Automatic listing/unlisting rules run sequentially as configured in their rule group. The system does not verify if the rule owner has permission to modify the affected assets.
