Create and manage documents

You can upload corporate policies, business documents, operation manuals, and other materials to the enterprise knowledge base. You can categorize these documents or directly view document information, making it easier for relevant personnel to understand corporate background information and operations. This topic describes how to create and manage documents.

Limits

A maximum of 20,000 documents can be uploaded under a single tenant.

Permission description

Knowledge base administrators, members, and custom global roles with the Enterprise Knowledge Base-Management permission can create and manage documents.

Import documents

  1. On the Dataphin homepage, choose Super X > Enterprise Knowledge Base from the top menu bar.

  2. In the Enterprise Knowledge Base list, select the knowledge base that you want to view.

  3. Click the Documents tab, and then click the Import Document button.

  4. In the Import Document dialog box, configure the parameters.

    Add To

    Select the folder to which you want to add the document. By default, the current folder is selected. You can select a folder at any level.

    Upload Document

    Select files from your local computer to upload to the knowledge base. You can click the Select File button or drag the files to the upload area.

    The following file formats are supported: Doc (.doc, .docx, .txt), Excel (.xls, .xlsx), PDF (.pdf), and PPT (.pptx, .ppt).

    Document list

    You can modify the name of the uploaded document and add descriptions and tags.

    • Document Name: The name of the document. By default, the original file name is used. You can modify the name. The name must be unique within the folder and contain no more than 255 characters. The file extension cannot be modified.

    • Description: You can enter up to 1,024 characters.

    • Tag: You can select existing tags from the current knowledge base or create new ones. Each tag can be up to 256 characters long. You can add a maximum of 20 tags.

    • Delete: Click the Delete icon in the Operation column to cancel the upload.

  5. Click OK to complete the document upload.

Manage documents

  1. On the Documents tab, you can view document folders and document information. After you select a folder at a specific level, the list on the right displays the document information in the current folder, including the document name, description, and tags. You can click All Knowledge to view all document information.

  2. You can search for documents by name, description, or tag.

  3. Hover over a document row, click More, and select an operation. Alternatively, you can click the Batch Management button to perform the following operations on the target document.

    Preview is supported only when the object type of the document is PDF.

    Edit

    You can modify the document information. The configuration details are the same as those for importing documents.

    Download

    You can download the file to your local computer for viewing.

    Shift

    • Single shift: Click Shift. By default, the folder to which the current document belongs is selected. You can shift the document to a folder at any level.

    • Batch shift: Select the target documents in the document list, and click Shift at the bottom. You can shift the documents to a folder at any level.

    Delete

    • Single deletion: Click Delete. After a document is deleted, the operation cannot be revoked. Proceed with caution.

    • Delete documents in a batch: In the document list, select the target documents and click Delete at the bottom. This operation cannot be undone. Proceed with caution.
