Organization Management Overview

An organization administrator manages the organization. The tasks include the following:

  • Organization initialization: If an organization has not yet been created, enter an organization name and click Create to initialize it.

  • Organization member management: Add and manage organization members, appoint organization administrators, add members to a workspace, assign their roles in the workspace, and remove users from the organization.

  • Workspace management: Create and edit workspaces, set a default workspace, manage workspace members, and delete workspaces.

  • API management: Configure APIs for Alibaba Cloud text messages and email, third-party text messages, data write-back sources, Quick BI authorization, data ingestion, and PUSH. You can also enable Alibaba Cloud SMS Official Accounts and configure OSS authorization.

  • Data authorization:

    • Organization data source management: Add organization data sources and grant permissions to workspaces.

    • Report authorization: Grant workspaces access to embedded reports that are enabled in Quick BI.

  • Organization settings: Obtain the organization's AccessKey, and configure the data ingestion service and AES key.

Organizations and workspaces

After an Alibaba Cloud account owner purchases Quick Audience Standard Edition, they become the default organization administrator. The administrator then initializes the organization.

You can create multiple workspaces within an organization.

A workspace, often called a "space," typically corresponds to a specific brand or department. Organization members must be added to a workspace to become workspace members. Within the workspace, they can perform business operations related to that brand or department, such as user insights and user marketing.

An organization member can join multiple workspaces.

Workspace members have different permissions based on their roles. The workspace administrator has all permissions within the workspace and can manage its settings. For more information about workspace role permissions and management, see Space Roles Management.

Important

Organization administrators are automatically added to all workspaces and have the same permissions as workspace administrators. They can manage workspace settings and perform business operations. If a workspace does not have an administrator, the organization administrator must manage that workspace.

Organization management process

The recommended management process for organization administrators is as follows:

  1. Initialize the organization.

  2. Create workspaces and set a default workspace.

  3. Manage workspace roles and set a default role. A workspace administrator can also perform this task. For more information, see Space Roles Management.

  4. Add organization members in one of two ways:

    • Add organization members individually, assign them to a specific workspace, and assign them a specific role.

    • Add organization members in a batch and assign them the default role in the default workspace.

    Alternatively, a workspace administrator can add workspace members. For more information, see Space Members Management.

  5. As needed, configure organization-level settings, such as API management, organization data source management, report authorization, and organization system settings. Also, configure workspace-level settings, such as workspace user group management and workspace system settings.
