Managed website operations lets you temporarily authorize a maintainer to maintain and update your website through a one-time authorization link. Use managed website operations when you want a maintainer to handle daily website operations without sharing your account or password.

How it works

Managed website operations authorizes a maintainer for a single maintenance session and records the work that is performed:

  • Authorization — You generate a one-time managed operations link on the Managed Website Operations page and send it to the maintainer.

  • Maintenance — The maintainer opens the link to enter the managed operations workflow and manages your website content on your behalf. Your account and password are not required.

  • Tracking — After managed operations start, you can view the managed operations records at any time.

Prerequisites

  • Submit a ticket to apply for the managed operations service.

  • Your application for the managed operations service is approved.

Considerations

Before you generate and send a managed operations link, consider the following:

  • Full content access — Anyone who has the managed operations link can manage all content on this website. Send the link only to maintainers you trust.

  • Validity period — A managed operations link is valid for 24 hours.

  • Single use — A managed operations link can be used only once. To authorize a maintainer again, generate a new link.

  • Inspiration credits — Managed operations may consume inspiration credits.

  • Credentials — A managed operations link is a separate one-time authorization. Never send your account or password to anyone.

Go to the managed website operations page

  1. Log on to the website management console.

  2. In the left-side navigation pane, click Managed Website Operations under System Features.

Generate and send a managed operations link

A managed operations link is a one-time authorization link. After a maintainer gets the link, the maintainer can manage your website content on your behalf without your account or password.

  1. On the Managed Website Operations page, click Generate Managed Operations Link.

  2. In the confirmation dialog box, read the authorization notes.

  3. Click Confirm and Generate. The managed operations link is displayed on the page.

    Important

The link is displayed only once. Copy and save the link immediately. After you refresh the page or switch to another page, the link is no longer displayed.

  4. Click Copy, and then send the copied link to the maintainer.

Regenerate a managed operations link

Regenerate a managed operations link in any of the following cases:

  • The link is no longer displayed because you refreshed the page or switched to another page.

  • The link is already used or has expired after 24 hours.

  • You want to authorize a maintainer again.

To generate a new managed operations link, perform the following steps:

  1. On the Managed Website Operations page, click Regenerate. The confirmation dialog box appears again.

  2. Click Confirm and Generate. A new managed operations link is generated.

  3. Click Copy, and then send the new link to the maintainer.

View managed operations records

Managed operations records are aggregated by maintainer and by day. By default, the Managed Website Operations page shows the records of the last 7 days.

To query records for other dates, perform the following steps:

  1. Change the Date Range. The latest start date you can select is today, and the end date cannot be earlier than the start date.

  2. Click Search.

The following list describes the records and metrics on the page:

  • Record granularity — Each record in the list corresponds to the managed operations performed by one maintainer on one day.

  • Managed operations details — Each record shows the start time, end time, and duration of the managed operations.

  • Total Managed Operations Duration — The total duration of managed operations within the selected date range.

FAQ

What can I do if the maintainer gets an invalid employee ID message?

First, check whether the employee ID that the maintainer entered is correct. If the employee ID is correct, the link may already be used or may have expired after 24 hours. Click Regenerate to generate a new link, and then send the new link to the maintainer.
