When you are away from the office, the vacation auto-reply feature automatically sends a reply to each incoming email so senders know you are unavailable.
Use the vacation auto-reply feature when you are on a business trip, on vacation, or away from email for an extended period. Once enabled, the system sends one auto-reply per sender per day — repeat emails from the same sender that day do not trigger another reply.
Set up vacation auto-reply
In your mailbox, go to Settings > Vacation Reply Settings.
Enable the vacation auto-reply toggle.
Enter the reply content you want senders to receive.
Save your settings.

What to include in your reply
A clear, professional auto-reply typically covers:
The dates you are away
When you will respond (or when you will be back)
An alternative contact for urgent matters
Keep the message brief. Avoid sharing personal travel details or private contact information unless you intend for all senders — including external contacts — to see them.
How the auto-reply works
Frequency limit: The system sends one auto-reply per sender per day. If the same person emails you multiple times in a single day, they receive only one reply.
Scope: The auto-reply responds to every incoming email that reaches your inbox.
