This topic describes the features of the Finance module in the Distributor Console.

Go to the Distributor Console, and in the navigation pane on the left, click Finance to open the Finance page.

Invoice management

Input invoices

In the navigation pane on the left, choose Finance > Invoice Management > Input Invoices to open the Input Invoices page.

  • Search for invoice applications

    You can search for applications by setting filter conditions such as Application Time, Supplier Store ID, and Billing Period.

  • Apply for an invoice: Complete the following steps on the Invoice Application page:

    Go to the Invoice Application page:

    Click Apply for Invoicing. This opens the Invoice Application page where you can update invoicing information and submit an application to the supplier (channel partner).

    Note

    You can also click Apply for Invoicing in the Operations column of a bill to open the application page.

    Update the invoice header:

    Click image or image. In the Add Invoice Header dialog box, configure the invoice header information:

    • Select invoice type: Select the invoice type.

    • Update invoice information: The Invoice Header and Taxpayer Identification Number are automatically read from your Alibaba Cloud account's identity verification information. To modify them, click image to go to the Alibaba Cloud Account Center and change the account's verified entity.

      Important

      Changing the verified entity for your Alibaba Cloud account affects your contract with the channel partner and updates to the withholding Alipay account. Proceed with caution or consult your Alibaba Cloud operations specialist first.

    • Update registration information: Enter the correct company registration information that matches the invoice header. The email address is used to receive electronic invoice attachments from the supplier.

    • Update invoice delivery address: Enter the correct recipient address for paper invoices.

    After configuring the information, click Confirm to return to the Invoice Application page.

    Confirm the pending invoice details:

    • The system automatically calculates the pending invoice details based on dimensions such as recorded and settled sub-bill data, sub-order product IDs, and SKU IDs. Positive results appear in the invoice details, and negative results appear in the NET item data.

    The original pending invoice details show only two rows for illustration. To view the complete original pending invoice details, download the file.

    1. Click the sub-bill content associated with the Invoice Details to download it. You can go to the Download Hub to download the billing details for review and verification.image

    2. Click Original Pending Invoice Details to download and view the system-generated invoice detail data.

      Note

      Verify the invoice details. If you have questions, contact the business personnel responsible for reconciliation and invoicing.

    3. Change pending invoice details (optional): The invoiceable amount for the current period already excludes data from reverse transactions within this billing cycle. When you change invoice details, you can only modify the tax rate and tax code. If your company's finance role has specific requirements for product tax rates and tax codes, you can change the invoice details and re-upload the file. If you do not have permission for this feature (the Change Pending Invoice Details button shown below), request access from your reconciliation or operations specialist.

      1. Click Change Pending Invoice Details.

      2. Follow the steps in the figure below to change the invoice details, and then upload the file.image

        Note

        When making changes, note the following:

        • You can only modify the Product Name, Tax Code, and Tax Rate in the pending invoice details.

        • Do not modify the Product ID, Quantity, Unit Price, or Amount in the original pending invoice details table. If you upload incorrect changes, you will receive an error message. Adding or deleting rows will not take effect after submission. Do not add or delete rows in the invoice detail data.

    View NET item (credit note) data:

    Click the NET Item Data tab to view the NET item data. You can download the data details for review. This section is for display only. It shows that the billing details for this invoice contain data related to reverse orders.

    Note

    The system only supports downloading and viewing NET item data. It does not support applications for credit notes. If you need a credit note, contact the channel partner offline.

    Select the invoicing data source:

    Select either the Original Invoice Detail Data or the Changed Invoice Detail Data as the invoicing data source.

    Note

    If you modified and uploaded the pending invoice data in step 3.1, select Changed Invoice Detail Data.

    Enter a description for the invoicing request:

    Submit the application:

    Click Submitimage to submit the invoice application. Then, wait for the supplier to issue the invoice.

    Note

    To save the information as a draft, click Save. You can submit the application after you finish entering and confirming the information.

    After you submit the application, you can view it in the Pending Invoicing list on the Input Invoices page. For more information, see View and manage invoice applications.

  • View and manage invoice applications

    You can switch between the tabs image to view and manage invoice applications with different statuses:

    Pending invoicing

    In the Pending Invoicing list, you can view saved or submitted invoice applications.

    Actions:

    • Details: View the details of the invoice application.

    • Cancel Invoicing: Cancel the invoice application.

    • Modify Application: Modify the invoice application. You can modify only saved applications. To modify a submitted application, you must first cancel it and then submit a new one.

    Invoiced

    In the Invoiced list, you can view applications for which the supplier has issued an invoice.

    Actions:

    • Details: View the details of the invoice application.

    • Progress: View the invoice processing status, logistics information, and download invoice attachments from the supplier on the Invoicing Progress page.

    • Download: Download the invoice attachment.

    • Logistics: If the supplier issues a paper invoice, you can check the logistics information to confirm that the invoice has been mailed.

    Rejected

    In the Rejected list, you can view invoice applications that the supplier has rejected.

    Operations:

    • Reason: View the reason for rejection.

    • Progress: View the invoice processing status on the Invoicing Progress page.

    • Modify Application: After confirming the reason for rejection with the supplier, modify the application information and resubmit it.
