Definition

Forward order

A forward order generated by a merchant in the LinkedMall system. It is mainly a source-to-business (S2B) purchase order placed by a channel partner to a supplier.

Reverse order

An after-sales order generated by a merchant in the LinkedMall system. It is mainly an after-sales order initiated for an S2B purchase order that a channel partner placed with a supplier.

Forward order state machine

The flow of forward order statuses, including the following: Awaiting payment, Awaiting shipment, Awaiting receipt, Transaction successful, and Transaction closed.

Reverse order state machine

The flow of reverse order statuses, including the following: Refund only and Return and refund.

Platform order

An order generated in the Tmall, Taobao, or Qianniu backend. The platform order ID has a one-to-one match with the LinkedMall order ID.

Order management

In the Order Management module, suppliers can view order and refund information for each store.

Note

The Transactions > Order Management page in the Supplier Workbench is for viewing and querying order information only. To fulfill orders, such as shipping items or processing after-sales requests, go to the Qianniu platform.

Order management

In the navigation pane on the left, click Transactions > Order Management > Order Management to open the Order List page. You can switch between the order status tabs to view orders in different statuses.

All recent orders

Click the All Recent Orders tab to view a list of all recent orders.

  • Filter orders: Specify the filter criteria and click Filter to view matching orders. You can combine multiple filter criteria.

    • Payment Method: Filter by payment method: Real-time Payment or Post-settlement.

    • Filter by time: Filter orders by a date range based on the Creation Time, Payment Time, or Receipt Confirmation Time. You can also select a predefined time span, such as Last 7 days, Last 15 days, or Last 30 days.

    • Filter by ID: Filter by LM Order ID or Platform Order ID.

    • Purchaser: Filter by Purchaser ID or Purchaser Name. Fuzzy search is not supported for Purchaser ID.

    • Order Type: Filter by order type: Dropshipping or Batch Purchase.

    • Recipient Name, Recipient Phone Number: Filter by the recipient's name and phone number.

  • View order details: Click View Details to open the Order Details page.image.png

    • Order Status: View the status of the current order.

    • Order information display: Switch between the tabs to view different categories of order information.

      Basic information

      As shown in the preceding figure,

      • Order Information: Displays information such as the LM Order ID.

      • User Information: Displays information such as the Recipient Name. The external distributor user ID is a custom ID provided by the distributor and does not correspond to the user ID on the Qianniu platform.

      • Order Product Information: Displays information about the products and order amounts for the sub-orders included in the main order.

      Receipt & Logistics

      • Basic logistics information: Displays the Shipping Method, Logistics Company, and Tracking Number. Click image to copy the tracking number.

      • Logistics details: Click image to view the logistics tracking details.

      Payment information

      Displays the payment information for the order, such as the Order amount and the Alipay transaction number.

  • Batch export orders: Click Batch Export. In the panel that appears, configure the export settings. You can navigate to Transactions > Download Hub > Order Export Records to view the task execution status and download the exported files.

    Ordinal Number

    Read the export instructions carefully.

    Enter a Report Name.

    Set the Order Period for the export. Currently, you can only export data for a 30-day span. To export data for more than 30 days, split the period into multiple exports.

    Select an Export Reason.

    Click OK.

    Go to the Download Hub and filter for the download task you want to view.

    Click Download to download the exported order data. You can download the file only after the task is complete.

Orders awaiting payment

Click the Awaiting Payment tab to view orders with the Awaiting Payment status. For more information, see All recent orders.

Orders awaiting shipment

Click the Awaiting Shipment tab to view orders with the Awaiting Shipment status. For more information, see All recent orders.

Orders awaiting receipt

Click the Awaiting Receipt tab to view orders with the Awaiting Receipt status. For more information, see All recent orders.

Successful orders

Click the Transaction Successful tab to view orders with the Transaction Successful status, which indicates that the recipient has confirmed receipt. For more information, see All Recent Orders.

Closed orders

Click the Transaction Closed tab to view orders with the Transaction Closed status. An order may be closed for several reasons, such as the user canceling the order, the payment timing out, or an after-sales process being completed. For more information, see All recent orders.

Refund request management

In the navigation pane on the left, click Transactions > Order Management > Refund Request Management to open the Refund Request Management (after-sales order management) page. You can switch between the tabs to view after-sales orders in different statuses.

All after-sales orders

  • Filter after-sales orders: Specify the filter criteria and click Filter to view matching after-sales orders. You can combine multiple filter criteria.

    • Filter by time: Filter by a date range based on the Request Time. You can also select a predefined time span, such as Last 7 days, Last 15 days, or Last 30 days.

    • Purchaser: Filter by Purchaser ID or Purchaser Name. Fuzzy search is not supported for Purchaser ID.

    • Filter by ID: Filter by LM Order ID, Platform Order ID, or After-sales Order ID.

    • After-sales Status: Filter by After-sales Status.

    • Order Type: Filter by order type: Dropshipping or Batch Purchase.

  • View after-sales order details: Click View Details to open the After-sales Details page.

    • After-sales order status: View the status of the current after-sales order.

    • After-sales order information display: View the Order Information and After-sales Information. If the user has returned the item, you can view the Return Logistics information.

      Note

      Images provided as after-sales proof are retained for one year. After this period, they expire and are marked as Expired.

    • After-sales order product information: Displays information about the products and order amounts for the sub-orders included in the main order.

  • Batch export refund requests: Click Batch Export. In the panel that appears, configure the export settings. You can navigate to Transactions > Download Hub > Order Export Records to view the task execution status and download the exported files.
