Create a private service flow template

Service flows are defined by service flow templates. Alibaba Cloud Marketplace provides a set of public templates. If the public templates do not meet your requirements, you can create a custom template or copy and modify a public template. This topic describes how to customize a service flow template in the Delivery Center.

Step 1: Open the workflow node editor

  1. Log on to the ISV portal of Alibaba Cloud Marketplace.
  2. In the left-side navigation pane, choose Delivery > Vendor Portal (sub-account).

    The Delivery Center opens.

  3. In the left-side navigation pane, choose templates-center-icon > service flow template.

  4. Click the My Templates tab.

  5. Click New.

  6. In the Create Flow Template dialog box, enter a custom Service Flow Name, and then click OK.

    The service flow template editor opens.

Step 2: Add workflow nodes

In the workflow node editor, add the required nodes.

  1. Hover over the lower part of the Assign Service Provider Node, and click +.

  2. In the Add Node dialog box, click the node you want to add and configure its parameters.

    Note

    The Assign Service Provider Node is a built-in starting node and cannot be deleted. The last node in the template must be a complete project node.

    • container node: This node is a logical container for organizing multiple sub-nodes into a single stage of work to make the workflow clearer.

      You can skip this node for simple workflows.

    • submit requirement node: This node lets a customer submit their requirements.

      Configure the node parameters and click Save.

      Each notification requires a Recipient (for example, customer), a Trigger (for example, when the current node is entered), and a message template (for example, Requirement Submitted - Notify Customer).

      You can click Preview to see what the form looks like.

      Note

      To request a custom requirement form template, contact Alibaba Cloud Marketplace support.

      Submit requirement button

      Enter the text to display on the submit requirement button.

      View requirement button

      Enter the text to display on the view requirement button.

      timeout (days)

      Enter the timeout period for this node. The value can have up to one decimal place.

      Notification settings

      1. In the Notification Settings section, click Add.

      2. Configure the notification settings as prompted.

        The platform provides a variety of pre-configured message templates. Custom templates are not supported.

    • claim order node: Use this node if a service provider has multiple subsidiaries or departments that handle sales and delivery independently.

      Configure the node parameters and click Save.

      Note

      The node immediately following a claim order node cannot allow rejection.

      In the notification settings, you must configure the Recipient, Trigger, and message template fields. For example, set the Recipient to service provider employee, the Trigger to Current Node Timeout, and select the Notify Sub-account on Node Timeout message template.

      An account manager can claim an order by using its Alibaba Cloud Marketplace order ID. After claiming an order, the account manager can assign it to other employees in their department.

      timeout (days)

      Enter the timeout period for this node. The value can have up to one decimal place.

      Notification settings

      1. In the Notification Settings section, click Add.

      2. Configure the notification settings as prompted.

        The platform provides a variety of pre-configured message templates. Custom templates are not supported.

    • assign order node: This node automatically assigns an order to a service provider employee with a specific role. You can define the role and the order assignment rules for this node.

      Configure the node parameters and click Save.

      Note

      The node immediately following an assign order node cannot allow rejection.

      Select the role of the person who operates this node from the list.

      order assignment rule

      Select an order assignment rule. Valid values:

      • Service Provider First: This rule searches for sub-accounts with the specified role. It prioritizes assigning the order to the sub-account with the lowest Current Held Orders/Total Order Capacity ratio. If multiple sub-accounts with the same role have the same Current Held Orders/Total Order Capacity ratio, the order is assigned randomly. If all eligible sub-accounts are at full capacity, the order is placed in a queue. The queue is refreshed hourly, and orders are automatically assigned as capacity becomes available.

      • Department First: If the workflow includes a claim order node and the order assignment rule is set to Department First, this rule prioritizes assigning the order within the department of the account manager who claimed the order. Within that department, the assignment logic is similar to the Service Provider First rule.

      Notification settings

      1. In the Notification Settings section, click Add.

      2. Configure the notification settings as prompted.

        The platform provides a variety of pre-configured message templates. Custom templates are not supported.

    • confirmation node: Use this node to confirm the work from the previous node. For example, a service provider employee can confirm the requirements submitted by a customer, or a customer can confirm the deliverables uploaded by a service provider employee.

      Configure the node parameters and click Save.

      • service provider: The service provider confirms the work from the previous node.

      • client: The customer confirms the work from the previous node.

      Select role

      Select the role of the service provider operator for this node.

      Confirm button

      Enter the custom text to display on the confirm button.

      allow rejection

      Turn on or off the allow rejection switch.

      • On: The operator for this node can reject the previous step, which moves the workflow back to that step.

      • Off: The operator for this node cannot reject the previous step.

      Reject button

      Enter the custom text to display on the reject button.

      Note

      This parameter is required only when the allow rejection switch is turned on.

      timeout (days)

      Enter the timeout period for this node. The value can have up to one decimal place.

      auto-proceed on timeout

      Turn on or off the auto-proceed on timeout switch.

      • On: If the node times out, the workflow automatically proceeds to the next node.

      • Off: If the node times out, the workflow does not automatically proceed to the next node.

      Note

      This parameter is available only when timeout (days) is set to a value greater than 0.

      Notification settings

      1. In the Notification Settings section, click Add.

      2. Configure the notification settings as prompted.

        The platform provides a variety of pre-configured message templates. Custom templates are not supported.

    • common node: This node represents a generic work item in the service process, such as a service provider employee submitting a deliverable or a customer uploading a file.

      Configure the node parameters and click Save.

      For example, you can configure the notification Recipient (such as a service provider employee), the event Trigger (such as Current Node Timeout), and the message template (such as Node Timeout - Notify Customer).

      Turn on or off the Upload required switch.

      • On: An attachment must be uploaded for this node.

      • Off: An attachment is not required for this node.

      Enter the custom text to display on the upload content button.

      View content button

      Enter the custom text to display on the view content button.

      Confirm button

      Enter the custom text to display on the confirm button.

      timeout (days)

    • complete project node: This node must be the final step in the workflow. The customer is the operator for this node. When the customer confirms this node, this completes the project.

  3. In the upper-right corner, click Publish.

  4. In the Confirm Publication dialog box, click OK.

    The template you just created appears in the service flow template list.

    Note

    Published templates cannot be edited.
