The Data Management page displays all existing data assets in your organization, including data table combinations, files, and API data. Administrators can add new data assets as needed, making them available for users to select from the Data Square. You can also manage existing data assets.

Prerequisites

  • Subscription: Your organization has purchased the Quick BI AIPro edition.

  • Permissions: Only an administrator (a user with AIPro centralized management permissions) can access the Management Center to add and manage data assets. For more information about configuring permissions, see User Permissions.

Accessing Data Management

Go to the Management Center of the Quick BI AIPro edition and click Data Management in the left-side navigation pane.

Add a data asset

On the Data Management page, you can add data table combinations, files, and API data.

Data table combination

A data table combination groups multiple data tables from a data source into a single data asset without requiring you to first create a dataset. This approach is ideal for thematic analysis, such as combining several sales-related tables for a sales report. You can add a new data table combination on the Data Table Combinations tab.

  1. In the upper-right corner of the page, click New Data Table Combination.image

  2. In the Create Data Table Combination dialog box, configure the new data table combination.image

    Parameter

    Description

    Name

    Enter a custom name for the data table combination. You can name it based on its business purpose, for example, 2026 Q2 Sales Data Combination.

    Workspace

    Select the workspace to which the data table combination belongs. The dropdown list shows only the workspaces that you have joined. If you do not see the target workspace, ensure that your account has been added to that space.

    Data source

    Select the data source for the data table combination. The system then loads the available data tables from that source.

    Data Table

    Select the data tables to include in the combination.

    Add to

    Specify the storage location for the new data table combination within the directory. The default location is the root directory, but you can also select an existing folder for better organization.

    Description

    Enter a description for the data table combination, such as its business purpose or important notes, to provide context for users and the AI.

  3. Click OK to create the data table combination. The system automatically starts learning from this new asset. Wait for this learning process to complete before using the data asset for analysis.image

  4. (Optional) You can manage the new data table combination. For example, you can set its visibility, edit it, and share it. For detailed instructions, see Manage data assets.

Files

Files are data assets uploaded to the Quick BI AIPro edition from your local device. This method is ideal for quickly starting an analysis based on local files, such as analyzing an Excel file exported from a third-party platform. You can add new files on the Files tab.

  1. In the upper-right corner of the page, click Upload File.image

  2. In the Upload Local File dialog box, configure the files you want to upload.image

    ① Add Files

    Click or drag files into area ① to upload them.

    Note
    • Supported file formats include Excel, CSV, PDF, Word, Markdown, TXT, and various image types.

    • You can upload a maximum of 10 local files at a time.

    • The maximum size for a single file is 50 MB.

    ② Files to upload

    This section shows the queue of files selected for upload. If a file was selected by mistake or is no longer needed, click the image icon to the right of the file to remove it.

    ③ Add to

    Specify the storage location for the uploaded files in the directory. The default is the root directory, but you can also select an existing folder to organize your files.

  3. Click Upload to start the process. The system automatically starts learning from the uploaded files. Wait for this learning process to complete before using the data asset for analysis.image

  4. (Optional) You can manage the uploaded files. For example, you can set their visibility, edit them, and share them. For detailed instructions, see Manage data assets.

API data

API data refers to external data assets that you connect to via an API. This method works well when you need to integrate data from a third-party system, for example, fetching the latest customer follow-up records from a CRM system via an API. You can add a new API data connection on the API Data tab.

  1. In the upper-right corner of the page, click Connect API Data.image

  2. In the input box of the Connect API Data dialog box, enter the API address or document you want to connect to and click the image icon to send. Intelligent Assistant Xiao Q then automatically parses the connection parameters from the API and attempts to connect.image

    Note

    Before connecting, check the API port and add the required IP addresses to your IP allowlist.

    • Only the following ports are supported: 443, 80, 3306, 465, 587, 5432, and 7001.

    • You must add the following Quick BI IP CIDR blocks for different network environments to the API's IP allowlist: 47.101.108.0/24, 101.132.48.0/24, 47.101.107.0/24, 139.224.92.0/24, 139.224.4.0/24, 106.15.146.0/24, 106.15.145.0/24, 106.15.143.0/24, 106.15.14.0/24, 106.15.13.0/24, 11.193.48.0/24, 11.197.244.0/24, 10.152.69.0/24, 10.152.163.0/24, and 100.104.0.0/16.

  3. After the process is complete, Xiao Q provides a connection plan and a list of fields returned by the API endpoint. Review the information in the dialog box. If it is correct, set the Name and Save Path for the API data. If the plan requires changes, you can adjust the configuration by continuing the conversation with Xiao Q.image

  4. Click Confirm and Save to establish the connection. The system automatically starts learning from this API data. Wait for this learning process to complete before using the data asset for analysis.image

  5. (Optional) You can manage the connected API data. For example, you can set its visibility, edit it, and share it. For detailed instructions, see Manage data assets.

Manage data assets

The data asset list on the Data Management page displays information about existing assets in your organization, including their name, owner, status, and visibility.

Description

① Search

If you have many data assets, enter keywords from an asset's name in the search box to filter the list and quickly find the asset.

② Display Columns

For data table combinations and files, you can customize the columns displayed in the list. This allows you to configure the view to show only the information you need.

③ New Folder

Click New Folder, enter a folder name in the New Folder dialog box, and click OK to add a new folder to the data asset list.

You can create a folder structure based on business themes or departments to improve the organization and maintainability of your data assets.

④ Set visibility

Set the visibility for a data asset. This setting determines which users can view and add the asset from the Data Square. You can set the visibility to Visible to all users or Visible to authorized users.

  • Visible to all users: All users in the organization can view and add this data asset.

  • Visible to authorized users: Only administrators, the owner, and users with whom the asset has been shared can view and add this data asset.

Note

You can grant usage permissions from the More Actions menu for the data asset. For more information, see ⑥ Data asset actions.

⑤ Folder actions

  • Add Data Asset: Click the image icon to add a new data asset within the current folder.

  • New Folder: Click the image icon to create a new subfolder within the current folder.

  • More Actions

    • Rename: Click the image icon and select Rename from the dropdown list to rename the current folder.

    • Delete: Click the image icon and select Delete from the dropdown list to remove a folder that is no longer needed. Deleting a folder also deletes all data assets within it, so proceed with caution.

⑥ Data asset actions

  • Rename: Click the image icon to rename the current data asset.

  • Preview: Click the image icon to view the content of the data asset in a preview dialog box.

  • More Actions: Click the image icon and select an option from the dropdown list.

    • Click Share to open the Share dialog box, which lists all currently authorized users.

      In the Add Authorization section (a), you can share the asset with specific users. You can also remove a user's permission by clicking the delete icon (b) next to their name.

      Note

      If an asset is not shared, only the administrator and its owner can use it.

  • Click Move to, select a destination folder in the Move to dialog box, and click the confirmation button to move the data asset to that folder.image

  • Click Delete to remove a data asset that is no longer needed.
