The Knowledge management page displays your organization's enterprise knowledge, which includes general and dedicated knowledge. Administrators can use this page to establish standardized content, such as business terminology and metric definitions. This helps align AI analysis results with your enterprise's business context. This topic describes how to add and manage knowledge.

Prerequisites

  • Version purchase: Your organization has purchased the AIPro edition of Quick BI.

  • Permission requirements: Only administrators with centralized management permissions for AIPro can add and manage enterprise knowledge. For more information, see User permissions.

Access the feature

Go to the Management Center of Quick BI AIPro and click Knowledge management in the navigation pane on the left.image

Add knowledge

On the Knowledge management page, you can add general knowledge and dedicated knowledge:

  • General knowledge applies to all or multiple data assets in your enterprise.

  • Dedicated knowledge can only be attached to a single data asset and has a higher priority than general knowledge.

You can switch to the corresponding knowledge type tab to add knowledge manually or use the smart import feature. You can also generate enterprise knowledge directly in the Create Task dialog box using natural language descriptions or uploading a file.

Add knowledge manually

You can add a single piece of enterprise knowledge by configuring it manually. This method is suitable for scenarios where you have a small number of entries to add and require manual verification. The procedure is as follows.

  1. Click the Add Knowledge button in the upper-right corner of the page.image

  2. On the Add Knowledge page, configure the knowledge information.

      Business definition

      Define a common business concept within your enterprise. You can enter common and standard terms used in your business, such as "sales progress" or "GMV". You can enter up to 100 characters.

      Data explanation

      Provide a detailed explanation of the business definition, including its meaning, calculation methods, and important notes. This helps the Large Language Model (LLM) better understand the definition. You can enter up to 1,000 characters.

      Synonyms

      Enter other common names or aliases for the business term. This helps the LLM recognize different ways of asking about the same definition.

      Press the Enter key after you type a synonym to add it. You can enter multiple synonyms at once by separating them with a semicolon (;). After you add synonyms, the AI automatically associates this knowledge when a user asks a question that hits any synonym for the effective data resource.

      Effective scope

      Set the scope where this business definition applies. You can set it to All data in the enterprise or Effective for specific data only.

      • All data in the enterprise: The business definition applies to all data resources in the enterprise.

        This pattern is suitable for enterprise-level core metrics or common business concepts that are standard and unified.

      • Effective for specific data only: The business definition applies only to specific data assets. In the asset selection area, you can switch between category tabs to view and select different types of data assets. You can select one or more data assets across different types. The selected assets are displayed at the bottom of the panel.image

        This pattern is suitable for enterprise knowledge with homonyms that have different meanings or for specific business scenarios.

    • Dedicated knowledgeimage

      Business definition

      Enter a business concept that is specific to a data resource. You can enter specific business concepts or exclusive metrics for the data resource. You can enter up to 100 characters.

      Data explanation

      Provide a detailed explanation of the business definition, including its meaning, calculation methods, and important notes. This helps the LLM better understand the definition. You can enter up to 1,000 characters.

      Synonyms

      Enter other common names or aliases for the business term. This helps the LLM recognize different ways of asking about the same definition.

      Press the Enter key after you type a synonym to add it. You can enter multiple synonyms at once by separating them with a semicolon (;). After you add synonyms, the AI automatically associates this knowledge when a user asks a question that hits any synonym for the effective data resource.

      Effective scope

      Select the data asset where this business definition is effective. You can only attach it to a single data asset. In the asset selection area, you can switch between category tabs to view and select a specific data asset.

  3. Click Finish and Import to add the enterprise knowledge. The added knowledge is enabled by default. The AI automatically associates this knowledge when users perform analysis tasks on the applicable data assets.

Smart import

You can upload a local file and use AI to automatically identify and extract business knowledge from the file. This method is suitable for scenarios where you have existing business documents, such as metric definition tables or data dictionaries, and need to quickly build a knowledge base in bulk. The procedure is as follows.

  1. Click the Smart Import button in the upper-right corner of the page.image

  2. In the Upload File step of the Batch Import Business Logic dialog box, configure the file to upload.image

    ① Upload file

    Click or drag the file you want to upload to area ①.

    Note

    You can upload files in XLS, XLSX, CSV, PDF, DOC, DOCX, and JSON formats. Each file must be no larger than 10 MB. You can upload up to 2 files at a time.

    ② File upload list

    This area shows the queue of selected files ready for upload. If the queue contains a file that was selected by mistake or is no longer needed, click the image icon to the right of the file to remove it.

  3. Click the Start Smart Extraction button. The system parses the file and extracts the knowledge. After the process is complete, the system automatically proceeds to the Preview Extraction Results step. This step displays the knowledge extracted from the file. You can perform the following operations:image

    ① Tag filtering

    After parsing and extracting knowledge, the system categorizes the knowledge as Can be directly adopted or Needs review based on whether review is needed. You can switch between the tabs to quickly view and manage the corresponding knowledge.

    ② Relearn

    Click the Relearn button. The system will re-parse the document and extract the knowledge.

    ③ Select knowledge

    Select the knowledge to import into AIPro. When the system finishes extracting knowledge, it selects the knowledge that Can be directly adopted by default.

    ④ Enabled status

    The knowledge is enabled by default after extraction. You can change this using the switch in the Enabled column.

    ⑤ Edit

    Click the image icon to modify the information for the current knowledge in the Edit Knowledge dialog box.image

    ⑥ Delete

    Click the image icon and confirm in the dialog box to delete knowledge that is no longer needed.

    ⑦ Batch operations

    You can select multiple knowledge entries at once to batch modify their effective scope or batch delete them.

  4. Click Finish and Import to add the enterprise knowledge. The added knowledge is enabled by default. The AI automatically associates this knowledge when users perform analysis tasks on the applicable data assets.

    Note

    The system automatically checks for enterprise knowledge with the same name. If duplicates exist, you must select Cancel Import, Skip Duplicates and Import, or Overwrite and Import in the confirmation dialog box.image

Dialogue generation

In an analysis task dialog box, you can add enterprise knowledge using natural language descriptions or uploading a file. This method is suitable for scenarios where you need to promptly establish fragmented business rules or quickly parse existing knowledge documents to generate knowledge within your workflow. The details are as follows.image

When a business definition that needs to be established appears in your workflow, you do not need to switch to the Knowledge management page to enter it manually. Simply give the AI an instruction in the dialog box, such as "Help me record a business rule" or "Add this explanation to the enterprise knowledge". The AI recognizes the intent and starts the knowledge extraction flow.

Generation result

After the knowledge is extracted, click the Go to Knowledge Management to Confirm button. You will be redirected to the Knowledge management > Batch Import Business Logic page. On this page, you can verify the accuracy of the extracted content. After you confirm the content is correct, click the Finish and Import button to add it.image

Generate from uploaded file

Trigger method

Upload a file containing business knowledge content in the dialog box and give the AI an extraction instruction in natural language, such as "Help me extract enterprise knowledge from this file". The AI recognizes the intent and starts the parsing flow.

Note

You can only upload files in XLS, XLSX, CSV, PDF, DOC, DOCX, and JSON formats. You can upload up to 5 files at a time, and each file must be no larger than 10 MB.

Generation result

After the file is parsed, the system displays a summary of the entries parsed from the file. Click the Go to Knowledge Management to Confirm button. You will be redirected to the Knowledge management > Batch Import Business Logic page. On this page, you can verify the accuracy of the extracted content. After you confirm the content is correct, click the Finish and Import button to add it.

Knowledge management

The Knowledge management list displays your organization's business definitions, along with related information, such as data explanations, synonyms, and effective scopes. You can perform the following management operations on this page:

Available operations

Description

① Filter business definitions

Click the status drop-down list in the upper-left corner of the page and select All Statuses, Enabled, or Disabled as needed to quickly filter for business definitions with the corresponding status.

② Search for business definitions

If your organization has many business definitions, making it difficult to browse them quickly, you can enter a keyword in the search box to quickly filter for and locate business definitions that contain the keyword.

③ Set status

A business definition is enabled by default after it is added. You can change this using the switch in the Enabled column.

④ Edit

Click the image icon to modify the configuration information for the current business definition in the Edit Knowledge dialog box.image

⑤ Delete

Click the image icon and confirm your choice to delete a business definition that is no longer needed.

⑧ Batch operations

You can select multiple business definitions at once to batch delete them.
