Push subscription
Feature overview
The push subscription feature in Quick BI allows you to automatically send key content from dashboards, spreadsheets, or Q-Reports to specified recipients on a preset schedule (e.g., daily or weekly). The content can be delivered as a screenshot, a link, or a data attachment, such as an Excel or PDF file, through multiple channels including email, DingTalk, WeCom, Lark, and custom webhooks. The core purpose is to provide users with the latest data overview without requiring them to log in or manually open reports, enabling them to stay aware of business dynamics, data fluctuations, and anomalies to support data-driven decisions and communication.
Key benefits
Automation and timeliness: Eliminates the tedious manual work of viewing, screenshotting, and sending reports by automatically pushing content on a schedule.
Convenient access: Delivers data insights directly to users on familiar platforms like email and DingTalk, making data easier to access.
Flexible content customization:
Choose to send an entire report or only specific key charts within a dashboard (component-level subscription).
Send report screenshots, links to online reports, or data attachments (Excel/PDF) containing the underlying data.
Customize the title, opening text, and closing text of the push message.
Multi-channel delivery: Supports email, DingTalk, WeCom, Lark, and custom channels to adapt to different organizational communication preferences.
Fine-grained management: Offers comprehensive management features, including task management, sending history tracking, log viewing, manual triggering, and permission controls such as ownership transfer.
Typical use cases
Regular business reporting: Sending daily sales performance dashboard screenshots to the sales team, or sending a weekly business analysis report as a PDF attachment to management.
Key Performance Indicator (KPI) monitoring: Scheduling regular delivery of core KPI charts to a stakeholder's DingTalk group so they can quickly track business performance.
Departmental data sharing: Periodically sending a cost analysis spreadsheet from the finance department to the heads of various business units.
Project progress synchronization: Sending a weekly link to a project's key data dashboard to team members for progress updates.
Mobile work support: Receiving critical report screenshots on mobile apps like DingTalk to stay informed about data while on the go.
Limitations
Version requirements: This feature is available only in Quick BI Advanced Edition and Professional Edition, and the Advanced Edition only supports email delivery.
Recipient restrictions:
Recipients for all delivery channels—including email, DingTalk, WeCom, Lark, and custom channels—must be Quick BI users within the same organization.
Email recipients must have a valid email address linked to their Quick BI account.
Attachment delivery limitations:
You can send a data attachment only via email or a custom channel.
To send an attachment, the subscribed report must be downloadable, and the task creator must have export permission for it.
Formatted Excel attachments can only be exported for crosstab and details table reports.
Task management limitations: Tasks scheduled to run "Only once" cannot be paused or resumed.
