A voucher pool enables flexible and efficient management of vouchers in the cloud.

Scenarios for using a voucher pool

As a company administrator managing multiple Alibaba Cloud accounts, you often need to determine when to issue vouchers, which accounts to issue them to, and the amount of each voucher based on your business’s cloud adoption plan. These vouchers are used to pay for or offset cloud usage costs.

You can allocate vouchers of specific amounts from the voucher pool and issue them to the required accounts. You can also revoke vouchers that have been issued but are no longer needed, and reallocate the revoked amount.

How to use a voucher pool

Request a voucher pool

Instructions

The voucher pool feature is available only to customers who have enabled Enterprise Account Center. For more information about how to enable Enterprise Account Center, see What is Enterprise Account Center?. After enabling Enterprise Account Center, contact your account manager to request a voucher pool.

Query a voucher pool

After obtaining a voucher pool, log on to the Expenses and Costs console. Go to Account > Account Sharing > Voucher Pool to view the details.

Important

After Enterprise Account Center is enabled, the main account can request a voucher pool. You can use the voucher pool to generate vouchers and view voucher operation records and usage details.

Manage vouchers using a voucher pool

Generate vouchers

  1. Find an active voucher pool. In the Actions column, click Generate Voucher.

  2. In the Generate Voucher dialog box that appears, enter the following information and click OK.

    • Send to Account: Select the account to which you want to issue the voucher.

      Note

      The available accounts are from the list of accounts that you have permission to manage.

    • Applicable Accounts: From the drop-down list, select the Alibaba Cloud accounts that can use the allocated voucher.

      Note

      The available Alibaba Cloud accounts are those for which the selected account pays. After a voucher is allocated to the account, you can specify that only some of the Alibaba Cloud accounts for which it pays can use the voucher.

    • Allocated Amount: The face value of the voucher. For more information about allocation rules, see the previous step.

Revoke vouchers

  1. In the Actions column of the coupon quota pool list, click Coupon Details.

  2. In the Voucher Details dialog box that appears, you can view information about the generated vouchers. Click Revoke to revoke a voucher that has a non-zero balance. After adjusting the Applicable Accounts, you can generate a new voucher.

    Important
    • Expired or invalid vouchers cannot be revoked.

    • Vouchers with a zero balance cannot be revoked.

View voucher operation records

  1. In the Actions column for the target coupon quota pool, click Operation Records.

  2. In the Operation Records dialog box that appears, you can view the generation and revocation records of vouchers.

View voucher usage details

Go to the Expenses and Costs > Account > Coupons & Vouchers page. Click the Coupons tab to view information about the vouchers under your account and their usage details.

Note

If your account is an enterprise administrator account, you can use the Belongs to Account filter to switch to other accounts and query their voucher lists and usage details.

FAQ

  • Why do I see only three vouchers when five were issued?

The Financial Management sub-account owns the vouchers. To view them, you can switch from your root account to the Financial Management sub-account or log on to the Financial Management sub-account.

  • Why can't trusteeship linked accounts view voucher data?

In a finance trusteeship relationship, the main account owns the voucher and can view the voucher data of its trusteeship linked accounts. The trusteeship linked accounts can only use the shared voucher. They cannot log on to view the voucher data.

  • How can a linked account use a voucher after the financial relationship with the main account is terminated?

1. After a finance trusteeship relationship is terminated, a shared voucher remains valid within its validity period but will not be used to offset the linked account's expenses. To prevent the voucher from being wasted, you can manually revoke the remaining amount. If the finance trusteeship relationship is re-established, the linked account can continue to use the voucher to offset its expenses.

2. After a financial management relationship is terminated, the linked account can still use the voucher to offset its expenses within the voucher's validity period.

  • Can a voucher be revoked after the financial relationship between the main and linked accounts is terminated?

Yes, the main account can still revoke the voucher amount that was allocated to the linked account after the relationship is terminated.

  • Can I specify the validity period when I generate a voucher?

No. You cannot customize the scope of a voucher, such as applicable products, applicable bill types, or validity period. Only the account manager can specify these settings when requesting the voucher pool. If you need different voucher scopes, you can request different voucher pools. You can only customize the applicable accounts, the number of vouchers, and the face value of each voucher.

  • Why is there no data in the voucher pool?

Only an account manager has the permission to request a voucher pool for a customer. When the account manager makes the request, the recipient must be set to "Specify Main Financial Account".
