This article summarizes frequently asked questions about using Projex.

General Projex

1. Differences from the previous version?

Projex is a major upgrade to the project collaboration features in Alibaba Cloud DevOps. The new version supports more complex project management scenarios, enhances enterprise-level controls, standardizes collaboration workflows, and integrates with efficiency insights to enhance your team's digital collaboration.

2. Is project migration required?

You can choose whether to upgrade from the previous version based on your organization's needs. We currently support a one-time upgrade for all projects within an enterprise. After the upgrade, you can start using the new version.

3. How is Projex priced?

Basic features in Projex, such as requirement, task, defect, and iteration management, are free to use for an unlimited number of users.

4. How do I enable Projex?

Projex is enabled by default for all new organizations created in Alibaba Cloud DevOps. If your organization already exists, you can upgrade your projects to start using Projex.

5. Continued use after the private beta?

Yes. All data from the private beta is retained, so you can continue to use it without interruption.

6. Support for third-party migration?

One-click data migration from third-party platforms is a key feature of Projex. We are gradually adding support for more platforms.

Work item management

1. Where can I find archived data?

To view archived data, filter by the archived status.

2. Status of requirement groupings after upgrade?

In the new version, requirement groups are mapped to a hierarchy field. You can group by this field to view your requirements by group.

3. Bulk import for work items?

Yes. In the upper-right corner of the list, click "More" next to the "Add" button and select the "Import" option.

4. Custom statuses for work items?

Yes. First, add a custom status in "Organization Settings" > "Work Item Status". Then, in your project, go to "Settings" > "Defect" > "Workflow" to add the new status to the defect workflow.

5. Archived tasks and efficiency insights?

Currently, archived items are not included in efficiency insights calculations. We are working to improve this feature.

6. Linking test cases, code, documents, and web pages?

Open the work item and use the options under "Others" at the bottom of the page.

Iteration management

1. Completed iteration still shows as incomplete?

Refresh the page to view the updated status.

Other

1. Linking files like PPT or PDF?

To associate such files, use the Add Web Link option to link to your file in DingTalk Doc.

2. Viewing work item status history?

Yes. You can view this in the "Activity" section on the work item's details page.

3. Deleting a custom work item status?

Hover over the header of the leftmost column to reveal the delete icon.

4. Reason for the project code length limit?

The project code is used as a prefix for work item IDs, such as TEST-01. Using a long code can make these IDs difficult to read and share. To ensure readability, the code is limited to 4-6 letters.

5. Page refresh for automation rule changes?

Currently, an automation rule is triggered by field changes, but the page does not automatically refresh to show these changes.

6. Bulk changing status and owner?

Yes. Select the work items you want to modify, and then click "Bulk Actions". You can then use "Change Status" under "Basic Fields" or "Change Owner" under "People" to update them.

7. Logic of organization, template, and project settings?

Projex uses a three-tiered settings hierarchy: organization, template, and project.

Organization settings define the pool of options (such as fields and statuses) that you can add to projects.

Template settings are used to initialize new projects. By default, changes to a template do not affect existing projects. However, you can enable a sync feature to apply template changes to linked projects.

Project settings apply directly to the specific project you are working on.

8. Location of the previous requirement category?

In Projex, the requirement category is now implemented as a custom field. You can group work items by this custom field to view them by category.

For example, on the requirement list page, you can group by the Requirement Category custom field to view requirements and their counts by categories like Technical Requirement (architectural refactoring), Product Requirement (user experience optimization), Business Requirement (customer requests), and Other.
