A project set groups multiple projects into a single view so you can plan, coordinate, and track progress toward common goals.

Project set features

Project set management focuses on delivery dependencies across projects, covering overall planning, resource coordination, and issue resolution to reduce delivery risk.

In Alibaba Cloud DevOps Projex, a project set aggregates data from multiple projects for unified viewing and planning. You can:

  • View requirements from multiple projects to track overall progress.

  • Plan requirements across multiple projects for streamlined delivery.

  • Configure basic information, members, and permissions for the project set.

Create a project set

Go to the Alibaba Cloud DevOps Projex console and select the Project set tab to view the project set list. By default, the list displays all project sets that you can access, grouped by system-defined filters: Managed by Me (project sets where you are an administrator), Joined by Me (project sets where you are a member), and My Favorites (project sets you have marked as favorites).

You can search the project set list by name, creation time, status, or creator.

To create a project set, go to Project set > New project set.

Enter the project set information, including the Project set name, ID (unique identifier), and Description. After you enter the information, click Create.

If you do not have permission to create project sets, an administrator can go to Global Settings > Organization Role to configure the appropriate permissions for your role, such as Create project set, View all project sets, or Manage all project sets. An administrator can enable or disable this permission for the role.

Associate projects

A project set requires associated projects to aggregate work items for unified viewing and planning toward a common goal.

A project can be associated with one or more project sets. After association, its work items automatically appear in the project set's work item list, where they can be viewed and planned. Members of the project set automatically gain view-only permissions for the associated projects (edit permissions are not granted by default).

On the project set Overview page, the Associated projects section displays the name and completion progress (for example, 0/1, 0/2, 0/5) of each associated project.

Click the "+" icon in the upper-right corner to add projects. You can add any project for which you have management permissions.

To disassociate a project, remove it from the list. After disassociation, its work items no longer appear in the project set, and project set members lose their view permissions for that project.

Click the red minus icon to the right of an associated project. In the Confirm to disassociate the project? dialog box that appears, click OK.

Manage work items

In the navigation pane on the left, click Work Items to view aggregated work items from the associated projects.

  • Aggregated view

    • View all requirements, tasks, and defects from associated projects in a unified view.

    • Create personal and public views. Filter work items by system fields, organization-level global fields, custom dates, and person-related fields. You can also group work items and export them in batches.

    • Display work items in a list, tree, or Gantt chart view.

  • Unified planning

    Use the Gantt chart view to plan work items across all associated projects.

    The left side of the Gantt chart view displays the Title, Status, and Assignee of each work item, while the right side displays a timeline of their start and end dates. Overdue tasks are marked in red. The View panel on the left allows you to filter by Personal (work items created by or assigned to you) and Public views (such as all, active, overdue, or completed work items). At the top, you can filter by work item type: Requirement, Defect, or Task.

Manage members

Members of a project set automatically have view permissions for all associated projects. To manage members, go to Settings > Project set Members.

On the Project set members page, you can filter members by using the All, Administrator, or Participant tabs. Use the search box in the upper-right corner to find a member by name, or click Add member. The member list shows each member's name, department, role, and available actions (for example, Delete).

The following table lists the default roles and permissions. These settings will be configurable in a future release.

Delete a project set

To delete a project set, go to Settings > Other. Deleting a project set permanently removes its data, including the name, cover image, description, and members. Associated projects are automatically disassociated. This action is irreversible.
