In Projex, you can customize requirement reviews—including review types, work item types, content, and stages—to fit your team's workflow.
Requirement review process
1. Set up a review type
Project managers can configure review types in the settings for a project or project template. To create a new review type, set the following parameters:
-
Review type name: The system checks for duplicate names.
-
Default reviewer: This reviewer is automatically added when a review is initiated. The initiator can remove this default reviewer.
-
Number of reviewers: Specify the minimum number of reviewers required to initiate a review. The review ticket can be completed only after all reviewers approve it.
-
Work item type: Select the work item types to which this review type applies. You can select multiple types, such as product requirements, technical requirements, defects, production incidents, tasks, and risks.
-
Review content: Set the content to include a description and other fields. The available fields are a combination of all fields from the selected work item types.
-
Review stage: The work item status at which the option to start a review becomes available.
Click Confirm to create the new review type. You can then select this review type when initiating a review.
-
Review types added to a project template are automatically included in new projects created from that template but do not affect existing projects.
-
Editing or deleting a review type does not affect existing review tickets.
2. Initiate a review
After a project manager configures review types, team members can initiate a review from the requirement details page. When initiating a review, provide the following information:
-
Review description: State the reason for the review, its scope, and any important notes to provide the reviewer with the necessary context. For an example, see the screenshot below.
-
Reviewer: Any member of the organization can be a reviewer, provided they have permission to access the work item details.
After a review is initiated, a Review tab appears on the details page where you can view review information, check review activity, and perform review operations based on your role. A content snapshot is automatically generated so all participants review the same information. You can view the snapshot by choosing More Actions on the details page. Only one In Progress review ticket of the same review type is allowed per work item. You can initiate multiple reviews for the same work item, as long as each uses a different review type.
3. Perform a review
After receiving a review notification, reviewers can click the link to open the work item details page and begin the review.
Click Start Review to view the submission information. Reviewers can approve, reject, or submit review suggestions.
Reviewers can submit their review results multiple times. The final decision is based on the last submission.
-
The review initiator can complete the review process after the reviewers have submitted their decisions.
-
The result is 'Approved' if all reviewers approve it.
-
The result is 'Not Approved' if any reviewer does not approve it.
4. Review activity
All review activity is recorded, including initiating, modifying, completing, and canceling a review, as well as submitting suggestions and final results. You can view past review activities and content snapshots in the review ticket history.
5. Review list
The review service aggregates all review tickets within the project, allowing team members to manage and view them in one place.
Note: You can enable this service in project . If this service is not in the navigation service list, you can add it in the project template.
6. Review notifications
Notifications are sent to participants during the review process. Configure review notifications in project .
7. Review permissions
Review operations are controlled by permissions. Configure these in project .
8. Review state transition
Use an automation rule to trigger state or field changes based on review events, or to subscribe to notifications. For example, add a rule to automatically send a notification for a review or change the status to 'To Be Developed' after a review is approved.
