An enterprise knowledge base is a key part of intelligent applications. It lets you manage various forms of business knowledge, such as glossaries and documents. You can add business-specific terms to a glossary and upload business documents or user manuals. This helps you build your business knowledge and resolve issues more efficiently. This topic describes how to create and manage an enterprise knowledge base.
Limits
A single tenant supports a maximum of 50 enterprise knowledge bases.
A single knowledge base supports a maximum of 1,000 folders.
A knowledge base folder can have a maximum of 10 levels.
Permissions
Super administrators, system administrators, operations administrators, and custom global roles with the Enterprise Knowledge Base - Management permission can create and manage enterprise knowledge bases. Knowledge base administrators can also manage enterprise knowledge bases.
Custom global roles with the Enterprise Knowledge Base - View permission can view and manage the content of the knowledge bases they are members of.
Create an enterprise knowledge base
In the top menu bar of the Dataphin home page, choose Super X > Enterprise Knowledge Base.
In the Enterprise Knowledge Base list, click the Switch Knowledge Base
icon on a knowledge base card. In the dialog box that appears, click Add Knowledge Base.In the Create Knowledge Base dialog box, configure the parameters.
Parameter
Description
Name
The name of the enterprise knowledge base. The name must be globally unique and cannot exceed 256 characters.
Description
Provide a description based on the application scenarios of the knowledge. This helps users quickly understand the content of the knowledge base. The description cannot exceed 1,024 characters.
Administrator
The administrator is responsible for the daily management of the knowledge base, such as editing basic information, adding members, managing knowledge, and deleting the knowledge base. The default administrator is the current user. You can add up to 20 administrators.
Member
Select members for the knowledge base. Members can view and manage all knowledge within the knowledge base. You can select all members or specify members.
All Members: All users in the tenant can manage the knowledge base.
Specific Members: Specify members to manage the knowledge base. You can specify members by user and user group. The total number of members from the selected users and user groups cannot exceed 500.
User: Select users with a Normal status in the current tenant.
User group: You can select a user group that is in the Normal state and is enabled. The group's membership is automatically updated to reflect any changes. To create a user group, see Create and manage user groups.
Scenario
The scenarios where the knowledge base can be used, such as smart asset retrieval. Currently, only Global is supported.
Knowledge Type
The types of knowledge that can be created in this knowledge base. Glossary and Document are supported.
Click OK to create the knowledge base.
Manage an enterprise knowledge base
The left side of the page shows the basic information and folders of the current knowledge base. The right side shows the list of knowledge content in the current knowledge base.
The knowledge base card in the upper-left corner shows the name and description of the knowledge base. Hover over the
icon next to the knowledge base name to view the administrator and application scenario settings. Click the Switch Knowledge Base
icon on the card to switch to a different knowledge base.Click the Edit icon on the knowledge base card to open the edit dialog box.
In the Edit Knowledge Base dialog box, you can edit or delete the knowledge base.
Edit: Modify the knowledge base information. For knowledge types, you can only deselect types that do not contain any content.
Delete: Click the Delete button at the bottom of the dialog box to delete the knowledge base. This action deletes all content in the knowledge base and cannot be undone. Proceed with caution.
Click OK to save your changes or delete the knowledge base.
Manage knowledge base folders
Different knowledge types share the same set of knowledge base folders.
In the Folder list of the enterprise knowledge base, click the Edit icon or the New Folder button.
On the Knowledge Base Folder Management panel, you can create, move, edit, or delete folders.
Operation
Description
Add
Click the Add Root Folder button and enter a name for the folder. Folders at the same level within the same parent folder cannot have the same name. The name cannot contain forward slashes (/) and must be within 128 characters.
Click the Add icon next to a target folder to add a new subfolder under it.
Edit
Click the Edit icon to modify the folder name. Folders at the same level within the same parent folder cannot have the same name. The name cannot contain forward slashes (/) and must be within 128 characters.
Move
Click the Move icon and select a parent folder for the current folder. You can select All Knowledge (/), which is the root directory.
Delete
Click the Delete icon. You cannot delete a folder if it contains subfolders or knowledge items.
What to do next
