Visitors may want to inquire while browsing but might hesitate to leave their contact information. The lead management feature automatically collects this information using a lead generation form and sends real-time SMS and email notifications, helping you to promptly follow up on business opportunities.

Prerequisites

To use lead management, you must complete the following:

  • Add a website and initialize it for crawling.

  • The deployment code has been embedded in the website HTML, and the embedding status is displayed as Embedded.

  • The Lead Management toggle is enabled.

Configure the Collector

A Collector defines the fields, notification methods, and collection channels for a lead generation form. In the left navigation bar, select Lead Management > Collector Configuration to go to the configuration page.

Form configuration

Define the fields for the lead generation form. You can add up to six fields, and each can be set as required or optional.

The following table lists the default form fields:

Warning

If you delete a configured field, the system also deletes the corresponding historical lead data. This data cannot be recovered.

Fewer fields increase the likelihood of submission. We recommend including only the most critical contact fields, such as phone number, and setting non-essential fields as optional.

Notification configuration

Once enabled, the system sends a notification for each new lead using the following methods:

Notification method

Description

SMS notification

Add phone numbers to receive an SMS notification for each new lead.

Email notification

Add email addresses to receive a notification for each new lead. The email includes lead details and a link to view the lead.

Note

If you do not receive SMS or email notifications, check the following common causes:

  • The phone number format is incorrect (it must include the correct country code).

  • The email address is misspelled.

  • Notifications are not enabled.

Channel configuration

Configure how visitors can access the lead generation form. Enabling both channels helps you capture leads in different scenarios.

  • Dialog-guided button: The lead generation form is triggered by a guide button in the intelligent chatbot window or through intent recognition. This method is suitable for naturally guiding visitors to provide their information during a conversation.

  • Independent floating button: A separate button is displayed on the webpage. Visitors can click the button to directly open and fill out the lead generation form. This method is suitable for scenarios where visitors proactively want to leave their information.

View and export leads

The lead list displays visitor submissions in a table. The system dynamically generates the table columns based on the fields you configure in the Collector.

View leads

  1. In the left navigation bar, select Lead Management > Lead List.

  2. On the Lead list page, view the collected leads.

    The lead list includes the following default columns:

    The submission time of the lead generation form, in YYYY-MM-DD HH:mm:ss format.

    Form field columns

    These columns are dynamically generated based on the form fields configured in the Collector, such as customer name, phone number, and email. A hyphen (-) indicates an empty field.

    Actions

    Click View Conversation to view the visitor's intelligent chatbot conversation history.

Filter and export leads

  1. Filter by Time: Select a time range to view leads collected within that period.

  2. Export Data: Click the image icon in the upper-right corner to download the lead data. You can then import this data into a CRM system for centralized management.

Note

If the exported file is empty, verify that there is lead data within the selected time range.
