Mail Rules

A mailbox administrator can configure mail rules for mail review, forwarding, and filtering to manage and secure members' mail.

Note

Change history:

Mail monitoring, review, and filtering have been consolidated into mail rules. Existing rules are retained, so you do not need to reconfigure them.

Procedure

1. Go to Domain Management > Security Management > Mail Rules, and then click New Rule.

2. Configure the rule details.

Rule name

Enter a descriptive name for the rule.

Apply to

Specify the scope of the rule. Select All members or Specified departments and members.

Except for

Use this section to exclude specific members.

  • Use Add from contacts to add departments or members in bulk.

  • You can include sub-departments when you add a department.

Note

Test the rule on a small scale before applying it broadly to avoid disrupting normal mail delivery.

When all of the following conditions are met

Available conditions:

  • Mail scopeimage

  • Senderimage

  • Recipientimage

  • Mail size range isimage The boundary values are not included.

  • Mail contains attachmentsimage

  • Apply to all mailimage

Actions

In this section, select the actions to apply to emails that match the rule conditions.

Mail review

Emails from a specified account or department member that meet the preset conditions require approval before delivery.

Mail filter

This action rejects, marks as spam, or deletes incoming mail that matches the specified conditions.

Mail monitoring and forwarding

This action automatically forwards mail sent or received by a specified member that meets the conditions to a monitor's mailbox.

Use this section to define exceptions to the rule.

Notes

Describe the rule's purpose for future reference. You can enter up to 100 characters.

3. After configuring the rule, click Preview Rule to review it. If the rule is correct, click Save Rule.

4. The status toggle is Disabled by default. Switch it to Enabled to activate the rule.

5. To adjust the rule later, use the Edit Rule, View Rule, Delete, or Disable options on the Mail Rules page.image

Note

Once granted mail rule permissions, a delegated administrator can view all mail rules.
